Chapter Structure
The ASID leadership year runs from October 1 – September 30. As outlined in the Society’s By-Laws and Policies, the ASID model for the eight (8) member Chapter Board of Directors is as follows:
- President: 1-year term (2025-2026)
- President-elect: 1-year term (2025-2026)
- Financial Director: 2-year term (2025-2027)
- Professional Development Director: 2-year term (2025-2027)
- Communications Director: 2-year term (2025-2027)
- Membership Director: 2-year term (2024-2026)
- At-Large Director: 2-year term (2024-2026)
- Student Representative to the Board (SRB): 1-year term (2025-2026)
How to serve?
- As per the ASID By-Laws, Policies, and Guidelines, Design Community Leaders and Other Leaders & Volunteers are appointed, not elected. Only the Chapter Board of Directors is elected in an annual chapter-wide election.
- At any time a member may contact the current sitting President at president@tx.asid.org to express interest in getting involved in some capacity, whether on the Chapter level or on the Design Community level. In the spring, the Annual Chapter Membership Survey is sent out via email, and there is always a place in the survey to leave your name and contact information if you are interesting in getting involved in some capacity.
- Design Community Chairs may choose their own committees, and members may contact a specific Chair directly to express interest in serving.
- Chapter Committee Chairs may choose their own committee members, and members may contact them directly to express interest in serving.
- Members are always welcome to suggest candidates and/or volunteer themselves to serve on the Chapter Board of Directors to the Chapter Nominating Committee for consideration. Simply send your candidate suggestions to our Chapter Adminstrator at administrator@tx.asid.org, and she will pass along to the Chapter Nominating Committee, which is always headed up by the immediate Past Chapter President after their term as President ends on September 30.
The timeline for nominations, election, appointments, etc. is as follows:
- Mid-Spring: The sitting President-Elect begins the process of identifying Design Community Chairs & Financial Chairs, as well as other Chapter Leaders & Volunteers, for the next leadership year beginning October 1.
- Early Summer: The sitting President begins putting together the Chapter Nominating Committee, which consists of no more than five (5) members. This Committee will determine the nominees for the next set of open Chapter Board of Directors positions for the subsequent leadership year. The sitting Board of Directors must vote on the Nominating Committee before its collective term ends on September 30.
- Late Summer/Early Fall: Depending on when ASID HQ holds the National Conference, all those who will be in office as of October 1 are asked to attend ASID Texas Chapter Training at a location within Texas.
- Late Summer/Early Fall: Depending on when ASID HQ holds the National Conference, all those who will be in office as of October 1 are asked to attend the ASID National Conference at a location within the USA or Canada.
- September 30: Last day of the ASID leadership year.
- October 1: First day of the new ASID leadership year.
- Winter: The immediate Past President heads up the Chapter Nominating Committee put in place during their term as President and begins the process of determining the slate for the next set of open Chapter Board of Director positions for the subsequent leadership term that will not start until October 1. No member of the Chapter Nominating Committee shall be nominated for office, notwithstanding resignation from the Chapter Nominating Committee.
- Late Winter/Early Spring: The annual Chapter Election takes place. A digital ballot it sent out to all ASID members in good standing within the Texas Chapter to vote on the slate determined by the Nominating Committee to fill those Chapter Board of Director positions whose terms will be ending September 30. If elected, these candidates will not officially take office until October 1.
- Mid-Spring: The process repeats itself.
Job Descriptions
PRESIDENT
The Chapter President is a non-voting Board of Directors member who presides over all Chapter Board meetings, oversees the Chapter Board, and all other Chapter Leaders and Committees, including Design Community Committees. Presidents implement and monitor the approved strategic plan and make sure that the policies and programs adopted by the Society are supported on the Chapter level. The President also makes sure that the finances of the Chapter are audited annually and reported to HQ in a timely manner.
PRESIDENT-ELECT
The basic functions of an ASID Chapter President-Elect are: to assume the responsibilities of the chapter president in his or her absence; to assist the chapter president in carrying out the functions of that office and perform specific duties delegated by the chapter president; and to facilitate the chapter board in understanding its role and responsibilities.
This position shall be used as orientation for the future chapter presidency.
FINANCIAL DIRECTOR
The Chapter Financial Director is responsible for financial oversight. They assist with the chapter strategic plan, work plan, and budget; work with the Chapter Administrator to handle all chapter funds, oversee the chapter’s checking, savings and investment accounts, and report on the chapter’s income and expenses, bank balances and financial well being. The Director also submits a quarterly chapter financial report, which is required by the Society’s guidelines, and is responsible for all tax returns (990, 990T, and any state returns).
COMMUNICATIONS DIRECTOR
The Communications Director is responsible for ensuring that all communications from the chapter are in compliance with the Society’s brand and stylistic standards. It is critical that the Director work closely with the communications and knowledge resources team at ASID Headquarters to ensure both have the most current information. The Drector recruits additional volunteers or uses a service provider to assist with producing the chapter newsletter, website and other communications materials.
PROFESSIONAL DEVELOPMENT DIRECTOR
Chapter Professional Development Directors are responsible for providing programming. Each chapter has differing needs depending on the size and composition of the membership and the market. Directors should ensure that the chapter program offerings…
- Are aligned with your chapter’s strategic plan
- Address the needs of the market
- Address the needs of various practitioner levels and specialties
- Introduce members to content that they might not know is critical
MEMBERSHIP DIRECTOR
The Chapter Membership Director’s responsibilities may vary depending on the size, composition and geography of the chapter and the chapter’s resources.
Establishing a membership committee will allow the director to delegate some tasks to others. Also, Headquarters staff can help with some aspects of member recruitment or retention efforts.
Membership Directors might help new members become involved in all relevant chapter activities; invite them to serve on a committee; and/or highlight their talents and help them find their ‘place’ on a committee or sub-group to get them involved and actively engaged in chapter events.
AT-LARGE DIRECTOR
The At-Large Directors may focus on an area of particular importance to the chapter—such as legislation, Industry Partners, or design community outreach—or serve in a general at-large capacity as needed.
All At-Large Directors, regardless of any other responsibilities determined by the chapter, are to provide chapter members with information regarding the Society’s professional standards and code of ethics and the proper use of member appellations, and to funnel reports of ethics violations and appellation abuses that arise within the chapter to the government and public affairs department at ASID headquarters for processing.
STUDENT REPRESENTATIVE TO THE CHAPTER BOARD
The Student Representative to the Chapter Board (SRB) must be a member of a student chapter operating in the chapter’s geographic area and be in his or her next to last year of study at the time of nomination. Under unique circumstances, independent student members may also qualify for this position. The Chapter Board of Directors shall select the SRB in the spring of each year for the term to begin October 1.
The SRB is responsible for representing all student chapters and independent student members within the chapter and ensures that all Student Chapter communications are conducted in accordance with the ASID brand identity and standards, focuses on implementing student programs when necessary to facilitate participation in career and professional development opportunities for student members, and serves as a communication link between the Chapter Board of Directors and student membership at large.
